
Part 1 Seek the approval of the Senior Pastor and the Board of Deacons to form a Men’s Ministries Committee, including the appointment of a pastoral liaison or deacon liaison. Form a committee of 5 or more men to be approved for committee membership. Develop a list of responsibilities for each committee member, as follows ( the following are suggestions only and may be adjusted to suit your circumstances):
Executive Portfolios
1. Liaison Pastor
Gives overall direction and spiritual guidance; liaise with Senior Pastor, deacons and staff, as required; attend all executive meetings; and provide/oversee announcements from the pulpit regarding activities.
2. Men’s Group Leader
Provide direct leadership for all activities, in co-operation with the Pastoral Liaison staff; monitor all activities and provide assistance, where required; liaise with church Administrative Support Staff to advertise the Men Ministry activities; prepare/distribute an agenda for each executive meeting; chair executive meetings; solicit Anew business for current and future executive meetings; and conduct an annual review of the years activities and develop a tentative plan for the coming years activities; prepare a report for the church’s Annual Business Meeting.
3. Secretary
Record minutes of all executive meetings and distribute to executive members for review and approval; co-chair executive meetings in absence of the Leader (appoint a substitute secretary to record minutes of this meeting); and assist the Financial and Statistics Coordinator with the registration of attendees and the financial arrangements at all Men’s Ministries functions.
4. Financial and Statistics Coordinator
Be accountable for and monitor all financial aspects of the ministry, in co-operation with the Pastoral Liaison staff and Facilitator of Finance and Mission; ensure receipt of all funds for appropriate activities and forward to the Facilitator of Finance & Mission for appropriate action; prepare and sign contracts/invoices for activities, where required; prepare and maintain records for registrants and attendees of all ministry activities ( names, telephone and cell numbers, e-mail addresses, approved activities, etc.); prepare, maintain and provide name tags for breakfast meetings, fall retreat, and other activities, in co-operation with Administrative Support Staff (name), as appropriate; and report on the Financial Status of the Men’s Ministry at executive meetings; assist the church treasurer to prepare a financial report for the annual Business Meeting.
5. Breakfast and Food Preparation Coordinator
Liaise with church caterer(s) for the provision of meals; enlist men to assist with table/chairs set up and table settings; enlist men to assist the cook in the kitchen with food/ beverage preparation and serving; enlist men to assist with table and kitchen clean-up, including table/chair set up before and after each activity; and enlist men to assist with the food preparation and serving, etc. at outside functions, such as the Spring BBQ and September Annual Retreat.
6. Activities Coordinator
Contact liaison persons and organize specific activities outside the breakfast program, as approved by the executive; provide information regarding contracts, admission prices, dates, times, etc. to the Finance and Statistics Coordinator to enable registration, payment for services, transportation, etc; be responsible and accountable for the provision of supplies eg. Baseballs, bats, gloves, footballs, goal posts, volley balls, nets, etc., as required for sports activities; and enlist men to act as coaches, umpires, etc., as required.
7. Devotions and Worship Coordinator
Oversee the following, as required: set up of PA, overhead machine, etc. for meetings; leadership of the music/worship during breakfast meetings and fall retreat; special music for meetings, e.g. soloists, instrumentalists, etc.; scripture reading and/or meditation for executive and breakfast meetings; pre-service prayer for breakfast meetings; and scripture reading and spiritual direction at the fall retreat.
8. Support Member (name)
Provide assistance to executive members, as requested.
